How It Works

Access Verification

The system verifies that the user is accessing from an approved device. Unapproved devices are denied access to protect the integrity of the intake process.

Client Inquiry Arrives

A client submits an intake request through the secure portal including case category, urgency level, contact information, and a brief summary. All submissions are timestamped and assigned a unique case reference number.

Advocate Assignment

The inquiry is reviewed and assigned to the appropriate advocate based on case category, state, urgency, and advocate availability. Time-sensitive matters are flagged for priority review.

Client Response

The assigned advocate responds to the client inquiry. All responses are logged with the responder's identity for audit and accountability purposes.

Follow-Up Determination

The system determines the appropriate follow-up action β€” callback email, phone routing, document request, or escalation β€” based on case details and advocate assessment.

Case Completion

The callback is sent and tracked. Once the client confirms receipt or the matter is resolved, the case is marked complete and archived with full audit trails.
